Summary Description

The Administrative Assistant (Chapter/Regional Office) provides general office support and engages in a variety of clerical and administrative duties and tasks including answering calls, managing the office area, e-mail, data entry, mail, ordering supplies, and organizing various activities in support of the Chapter/Regional Office Director and its staff. This position reports to the Chapter/Regional Office Director or their designee. The Administrative Assistant has access to confidential NYCLU information which must be maintained in a confidential manner and communicated on a need to know basis.  Most work is performed in the NYCLU environment during normal business hours but may involve travel outside of normal workhours with evening and weekends meetings.

Roles & Responsibilities

The Administrative Assistant:

  • Performs administrative support duties including correspondence, e-mail and phone communication
  • Coordinates repairs and billing with vendors, preparing check requests and expense reports
  • Works with NYCLU New York City staff on technology and equipment updates
  • Coordinates meetings with outside organizations, tracks responses, sends invites, and monitors internal NYCLU meetings for Director
  • Tracks and maintain budget, and maintains tracking systems
  • Maintains contact lists digitally and tracks data-bases
  • Corresponds with volunteers
  • Works with intake volunteers and participates in intake monitoring and response when necessary
  • Posts events, news and updates on social media platforms
  • (Post COVID):  Attends community meetings and Town Halls, occasionally in the evenings, assists with preparing and transporting materials, shopping for and transporting food, and manages sign-in tables at events and conducts follow-up as needed
  • Works with venue managers prior to events pertaining to technology and set-up
  • Manages presentation equipment and set-up for in-house and mobile presentation (after COVID)
  • Creates flyers with registration links, monitors, tracks and responds to RSVP’s
  • Maintains inventory of office supplies and orders new supplies when necessary
  • Monitors local media outlets
  • Actively supports the NYCLU’s internal and external commitment to diversity, equity and inclusion

Qualifications

  • Bachelor’s degree preferred or prior related experience in technical aspects of office management
  • Special event/organizing experience a plus
  • Proven organizational, writing, and oral communication skills, excellent interpersonal skills, and the ability to work both independently and collaboratively
  • Able to communicate, meet deadlines, and obligations in a reliable and professional manner
  • Social Media experience
  • Experience with bookkeeping and budgeting
  • Work effectively with a diverse and multi-cultural workforce and constituency
  • Flexible, self-starter, problem solver
  • Maintain confidentiality
  • Proficient in Microsoft Office Suite, creating PowerPoint presentations, Facebook, Twitter, Instagram, Google Docs, SharePoint, Zoom, Teams, Slack, and other social media and sharing platforms
  • Comfortable with trouble-shooting technology issues in-office and working with vendors and NYCLU New York City staff
